Housing & Travel Information

To book your room, please click here to make a reservation online to receive the Group Rate. Deadline to receive our group rate of only $199 per room is August 10. 2017 so please book as soon as possible before the room block is full.

Sponsor Tables

Sponsor packages that include tables: will be provided one (1) 6 foot skirted table and 2 chairs to display your company’s marketing collateral. Feel free to bring a tabletop display or a banner to hang over the front of your table. Please note that maximum of two (2) roll-up banners may be used at each table, and must not exceed 6-feet tall.

Installation/Dismantle

Setup hours for your tabletop display are between 8:00 AM and 10:00 AM on Tuesday, Sep 12, 2017.  All tables must be completely set up by 10:00 AM on Wednesday. Please plan to tear-down your exhibit table on Thursday, Sep 14, 2017 between 3:00 and 5:00pm. Please do not begin to tear down your exhibit table until after 3:00 PM on Thursday, Sep 14, 2017.

*It is recommended that all exhibitors remain in their table space and are available during high traffic times such as the opening reception, breakfast, lunch and breaks.

Shipping Instructions and Address

The Vancouver Airport Marriott looks forward to hosting your upcoming trade show. In order to assure you a successful show, the following guidelines have been established.

1.Hotel does not have storage space fro crates, pallets or large shipments. Any materials sent to the hotel must arrive no earlier than September 6, 2017. A handling fee of $20 per box/item and $20 per pound plus all applicable dates will be assessed. The mandatory handling and storage free is retained by the hotel and is not a tip, gratuity or service change. Hotel will not be responsible for any loss or damage to items  sent prior to September 11, 2017.

2. If needed an Electrical Service Order form must be filled out by each Exhibitor and sent to the Conference Services Manager. This form is mandatory and must be received 21 days prior to arrival. PLEASE NOTE: There is a $30.00 rental charge for use of extension cords. Contact FMAV at 1-604-871-1000

3. Audio-Visual Equipment is available through FMAV at 1-604-871-1000

4. Vancouver Airport Marriott has lease agreements with its lobby shops that preclude the sale of items that may be purchased in their shops. Items being sold directly to convention attendees during Exhibit Shows must have prior approval of the Conference Services Department.

5. If a clear and dedicated internet connection is needed, the Exhibitor must contact FMAV at 1-604-871-1000 thirty (30) days prior, due to the policies of Vancouver Airport Marriott. Current prices are $200.00. A valid credit card number must be included in all orders. 

Additional Show Services

If you require additional services such as electrical, telecommunications,  audio-visual, or catering at your table please reach out to our team for the appropriate forms.  Any costs incurred will be the responsibility of the exhibitor.  Please coordinate your requests through our team so that you receive superior support during the summit.
